1. What is Erasmus+ Student Traineeship Mobility?
Erasmus+ Student Traineeship Mobility is an activity that enables students to undertake a traineeship abroad in eligible countries within the scope of the Erasmus+ Programme. Up-to-date information on eligible countries and grant amounts by country can be found in the relevant calls for applications and information published by the Erasmus Office.
Associate, undergraduate, master's and doctoral students who are enrolled in full-time education at Tokat Gaziosmanpaşa University and have active student status may apply for Erasmus+ Student Traineeship Mobility.
Students enrolled in evening education programmes may also apply. However, students enrolled in distance education or open education programmes, special students, and students who have suspended their registration are not eligible to apply.
Yes. First-year and final-year students enrolled in associate, undergraduate, master's or doctoral programmes may apply for Erasmus+ Student Traineeship Mobility, provided that they meet the other application requirements.
Applicants must meet the minimum foreign language score and General Academic Grade Point Average (GPA) requirements specified in the relevant call for applications.
The general minimum GPA requirements are:
Associate degree: 2.20/4.00
Undergraduate: 2.20/4.00
Master's degree: 2.50/4.00
Doctoral degree: 2.50/4.00
A minimum foreign language score of 50 points is generally required; however, the score specified in the current call for applications published for the relevant application period shall be binding.
The Erasmus Language Examination administered by the Erasmus Office, YDS and YÖKDİL examinations administered by ÖSYM, and other foreign language examinations recognized as equivalent by ÖSYM are accepted.
Score conversions for examinations such as CPE, CEA, TOEFL iBT and PTE Academic are made in accordance with ÖSYM's relevant Foreign Language Examinations Equivalency Table.
No. Level certificates obtained from foreign language courses are not accepted as valid foreign language scores for Erasmus+ Student Traineeship Mobility applications.
Likewise, foreign language scores obtained from examinations such as LYS-5, which are not accepted under the current application requirements, cannot be used.
Yes. Applicants are required to submit a valid foreign language score accepted under the relevant call for applications.
Yes, provided that the preparatory class passing grade is accepted for the application. However, the score must meet or exceed the minimum foreign language score specified in the relevant call for applications.
No. Obtaining the required score in the Erasmus Language Examination only means that you have fulfilled the foreign language requirement for application. To be eligible for mobility, you must also meet the other requirements and rank within the available quota as a result of the selection process.
The transcript belonging to the level of education for which the student is applying is taken into consideration.
If a transcript has not yet been issued at associate or undergraduate level, a transcript from the previous level of education may be used.
If a transcript has not yet been issued at master's level, the undergraduate transcript may be used.
If a transcript has not yet been issued at doctoral level, the master's transcript may be used.
However, if a transcript has already been issued for the relevant level of education, the transcript belonging to that level must be used in the application.
No. Having failed or outstanding courses does not prevent you from applying, provided that you meet the minimum academic and foreign language requirements specified in the call for applications.
The Erasmus score is calculated by adding 50% of the foreign language score and 50% of the General Academic Grade Point Average (GPA).
There is no fixed selection score. Quotas are determined according to the budget allocated to the institution, and candidates are ranked according to their Erasmus scores. Candidates who rank within the determined quota are selected as “Candidate Students.”
There is no fixed quota. Quotas are determined according to the grant amount allocated to the university for the relevant project period and the number and distribution of applications.
Quotas are allocated among departments in accordance with the relevant call for applications and selection criteria. If the full quota allocated to a department cannot be filled with successful candidates, the remaining quota may be fairly redistributed among other departments, taking the number of applications into consideration.
Applications are submitted through the application system specified in the call for applications during the application periods announced by the Erasmus Office.
Since application dates and application systems may vary from one period to another, applicants must follow the current announcements published by the Erasmus Office.
No. Finding a traineeship placement and obtaining a Letter of Acceptance are the student's responsibility.
The Departmental Erasmus Coordinator, Erasmus Institutional Coordinator or Erasmus Office has no legal obligation to find a traineeship placement on behalf of the student.
Yes. For Erasmus+ Student Traineeship Mobility, students may independently contact institutions abroad where they wish to undertake their traineeship and seek a Letter of Acceptance.
Yes. However, having an agreement with an institution does not mean that the student will automatically be accepted. The student must contact the relevant institution and obtain its acceptance for the traineeship.
Traineeship agreements do not have the same binding nature as study mobility agreements requiring the partner institution to accept students.
You should contact suitable institutions or organizations in the country where you wish to undertake your traineeship, submit your traineeship request and obtain a Letter of Acceptance from the institution.
When applying to institutions, you are advised to submit a motivation letter introducing yourself, explaining why you wish to undertake a traineeship at the institution and outlining the objectives of the traineeship, together with an up-to-date and professionally prepared CV.
Your motivation letter should be clear, concise and clearly communicate your purpose. In particular, you are advised to address:
Why you want to undertake a traineeship at the institution,
Why you want to undertake your traineeship in the relevant country,
How the traineeship will contribute to your academic and professional goals,
The connection between your department/field of study and the institution where you intend to undertake your traineeship,
What you can contribute to the institution,
What knowledge and skills you aim to gain and develop during the traineeship.
In addition to the motivation letter, submitting a well-prepared CV in English may also strengthen your application.
Obtaining a Letter of Acceptance may take time and patience. Therefore, students are advised to apply to a sufficient number of suitable institutions.
If you do not receive a response from any institution, you may review and revise your motivation letter and CV and submit new applications.
No. A Letter of Acceptance only confirms that an institution has accepted you for a traineeship. To be eligible for Erasmus+ Student Traineeship Mobility, you must participate in your university's application and selection process and be selected as a “Candidate Student” based on the results.
The countries where Erasmus+ Student Traineeship Mobility can be undertaken are determined according to the rules of the relevant project period and the projects and budget available to the university.
Therefore, the current list of eligible countries and the grant amounts applicable to each country should be checked in the current calls and information published during the relevant application period.
Yes. Having a compulsory traineeship requirement in your department is not a prerequisite for participating in Erasmus+ Student Traineeship Mobility.
Yes. Provided that your department and the relevant faculty/unit board approve it and the traineeship is considered academically appropriate, you may undertake your compulsory internship/clinical placement abroad within the scope of Erasmus+ Student Traineeship Mobility.
Yes. Students may undertake a traineeship for a period longer than the period covered by the grant. The period not covered by the grant may be carried out as a zero-grant period.
However, the grant period and amount are determined according to the budget allocated to the university for the relevant project period and the conditions announced by the university.
Yes. However, mobility periods previously undertaken at the same education level are taken into consideration when calculating the total mobility period allowed at that level.
In addition, having previously benefited from Erasmus mobility may result in a deduction of points from the Erasmus score in accordance with the selection criteria specified in the relevant call for applications.
The traineeship is generally expected to be planned as a single mobility activity and undertaken at the designated institution. Cases involving traineeship activities in different countries or institutions are evaluated in accordance with the rules of the relevant project period and subject to the approval of the Erasmus Office.
A traineeship at a business owned by a relative may be possible provided that the business is an eligible traineeship organization and meets the relevant Erasmus+ requirements. The traineeship provider must be an organization carrying out economic activity, and the traineeship must be related to the student's field of study.
Yes. The traineeship organization must be related to the student's field of study and meet the required eligibility criteria. Obtaining a Letter of Acceptance from an institution does not automatically mean that the institution is eligible for an Erasmus+ traineeship.
For example, it would not be appropriate for a Business Administration student to undertake a traineeship in a Chemistry laboratory unrelated to their field, or for a Chemistry student to undertake a traineeship in the accounting department of a company unrelated to their field.
The Departmental Traineeship Approval Form is a document confirming that the traineeship the student intends to undertake has been approved by the relevant department.
Students undertaking an Erasmus+ traineeship as an optional/voluntary traineeship must have the form approved by the Departmental Erasmus Coordinator. Students who intend to have their Erasmus+ traineeship recognized as a compulsory traineeship must obtain the necessary approvals from the relevant academic units.
A Draft Work Programme is a schedule outlining the activities to be carried out during the traineeship on a daily or weekly basis.
The student is responsible for preparing the programme by taking into consideration their field of study and the activities of the traineeship organization.
If the application system does not allow applicants to delete an uploaded file directly, you may request its deletion by e-mailing the Erasmus Office and specifying the file code of the incorrectly uploaded document.
If the system allows it, you may also upload the correct document again.
Arranging accommodation is not a legal obligation of either the sending or receiving institution. Students are responsible for arranging their own accommodation.
You must prepare the required documents in accordance with your traineeship start date and visa procedures, finalize your Letter of Acceptance, complete your insurance and visa procedures, and submit the documents requested by the Erasmus Office within the specified deadlines.
If your traineeship start date is approaching, you are strongly advised to start the necessary procedures as early as possible.
The timing of passport procedures is the student's responsibility. Passport procedures should be initiated in good time, taking into consideration the time required for visa, insurance and other official procedures.
Whether a visa is required depends on the destination country, passport type and duration of the traineeship.
Holders of ordinary Turkish passports (burgundy passports) must check the visa requirements of the destination country and apply for the necessary visa. For holders of special/green passports, visa exemption may also vary depending on the duration of the traineeship and the regulations of the destination country. Therefore, up-to-date information should be confirmed with the relevant consulate or embassy.
The documents required for a visa application vary depending on the destination country and type of application. Current document requirements and application procedures should be checked with the embassy/consulate of the destination country or the authorized visa application center.
The visa application, its follow-up, and the preparation of the required documents are entirely the student's responsibility.
You can obtain your Visa Letter by logging into your personal account on TURNAPortal and accessing the relevant document request section.
It is the student's responsibility to arrange insurance and choose the insurance company. Before applying for a visa, an appropriate insurance policy meeting the requirements of the destination country must be obtained.
Students participating in traineeship mobility must have insurance covering:
General health insurance,
Personal accident insurance,
Liability insurance.
The insurance policy must cover the entire mobility period and meet the visa and insurance requirements of the destination country. Since the required coverage amounts may vary by country, students should check the current requirements of the destination country before purchasing an insurance policy.
Insurance coverage amounts may vary depending on the destination country and visa requirements. Therefore, students should check the current visa and insurance requirements of the destination country before purchasing an insurance policy.
You should find out the reason for the visa refusal from the consulate or authorized visa application center and, where appropriate, address any missing or incorrect information before reapplying.
If your traineeship start date is approaching, you are also advised to inform the institution that accepted you and, if necessary, request that the dates stated in the Letter of Acceptance be revised.
You must obtain a new Letter of Acceptance from the institution where you will undertake your traineeship, stating the revised traineeship dates. You must then prepare your other documents according to the new dates.
Changes of country or institution are evaluated by taking into consideration the budget, grant group and available quota for the relevant project period.
A change between countries within the same grant group may be financially feasible, whereas changing to a country in a different grant group may not be possible if additional funding is required.
Therefore, students must contact the Erasmus Office before making any changes.
After completing your visa procedures, you must contact the Erasmus Office regarding the grant agreement. You may be required to request an appointment or obtain information via the designated e-mail address before visiting the office.
The following documents are generally required for the grant agreement:
Letter of Acceptance,
Passport,
Learning Agreement for Traineeship signed by all parties,
IBAN and account details for a Euro account opened at Ziraat Bank,
An insurance policy covering the required types of insurance.
The timing and rate of the grant payment are determined in accordance with the relevant project period and the university's procedures. The current information provided by the Erasmus Office regarding grant payments shall apply.
It is possible to terminate the mobility; however, early return may have consequences for the grant.
In particular, if the minimum required mobility period is not completed without a force majeure reason, the entire grant or part of the grant may be subject to recovery.
Force majeure may include circumstances beyond the student's control, such as compelling circumstances, family-related reasons, health problems or natural disasters.
In such cases, the student must inform the Erasmus Office as soon as possible. If the situation is accepted as a force majeure case, the student may be entitled to the grant corresponding to the period of mobility actually completed.
Before the mobility, the student should discuss the traineeship placement and the activities to be carried out with the Departmental Erasmus Coordinator.
The relevance of the traineeship to the student's academic field and the suitability of the planned activities must be assessed. The necessary documents, particularly the Learning Agreement for Traineeships / Training Agreement and relevant traineeship recognition documents, must be approved before the mobility.
An Erasmus+ traineeship may be recognized as equivalent to a compulsory traineeship if it fulfils the requirements of the department's compulsory traineeship. If there is no compulsory traineeship requirement, the traineeship may, depending on its nature, be recognized for credits as an elective course.
For students who have graduated, an Erasmus+ traineeship must be indicated in the Diploma Supplement.
No. Recognition of traineeships is carried out in accordance with the traineeship regulations of your department and the approval of the relevant academic unit. An Erasmus+ traineeship cannot automatically be recognized as a substitute for multiple separate traineeships.
Students may not receive a grant for the entire duration of their study or traineeship mobility. The grant period is determined according to the total budget allocated to the university and the grant distribution for the relevant project period.
Therefore, obtaining acceptance for a longer traineeship does not automatically mean that you will receive a grant for the entire duration.
A student may benefit from Erasmus+ study and traineeship mobility for a total of up to 12 months within the same education level. Mobility periods previously undertaken at the same level are deducted from this total period.
For example, a student who has previously benefited from five months of Erasmus+ mobility at undergraduate level will have the remaining mobility period calculated within the total 12-month limit at the same education level.
However, when the student moves to a different education level, the mobility period is recalculated based on the new education level.
Yes, you may withdraw from the mobility opportunity for which you have been selected. However, it is important to notify the Erasmus Office as early as possible. Late withdrawals may leave insufficient time for reserve candidates to benefit from the mobility opportunity.
Yes. Students wishing to participate as zero-grant participants must also go through the same application and evaluation process as other candidates.
They must meet the required conditions, upload the necessary documents and complete the selection process.
Yes. All students, whether funded or zero-grant, must submit the documents requested by the Erasmus Office and sign the required agreements before the mobility.
Yes. A grant reduction may be applied if the student fails to fulfil the obligations required under the Erasmus+ Programme, does not meet the requirements concerning the mobility period, or fails to fulfil the requirements of the activity.
The reduction rate is determined in accordance with the rules of the relevant project period and the university's procedures. Failure to complete the participant survey or returning before completing the minimum required mobility period without a force majeure reason may be among the reasons for a grant reduction.
After the mobility, all documents requested by the Erasmus Office must be submitted in full. Failure to submit the required documents, or submitting incomplete documentation, may have consequences for the grant payment and completion of the mobility.
The Participant Survey (EU Survey) is a survey used to evaluate your experience and satisfaction with Erasmus+ mobility.
After completing your mobility, a link to the survey is sent to the e-mail address registered in the application system. You must complete the survey using the link provided.
Failure to complete the participant survey may result in a grant reduction under the rules applicable to the relevant project period. Therefore, it is important to complete the survey within the specified period after the mobility.
Erasmus+ Student Traineeship Mobility contributes to students' understanding of different cultures, gaining international experience, and developing their professional knowledge and skills.
A traineeship experience abroad can be added to your CV and may support your academic and professional profile in future employment, traineeship, master's degree or other international applications.
No. The Erasmus+ grant is not intended to cover all expenses incurred by students abroad. The grant is provided as a contribution towards living and travel expenses that may arise during the mobility period.
Additional grant support and special needs support may be available for students with fewer financial opportunities and students with special needs during the relevant project period.
The scope and application requirements for these supports are specified in the current calls for applications published for the relevant Erasmus+ project period.
