PASSPORT – VISA – INSURANCE PROCEDURES 

Passport Procedures 

Detailed information and the required documents for passport applications can be found on the official website of the General Directorate of Civil Registration and Nationality. Students may also consult the websites of the Tokat Provincial Directorate of Civil Registration and Nationality and their respective District Directorates for further guidance.


Visa Procedures 

  • Visa applications can only be initiated after receiving the official Letter of Acceptance from the host university abroad.
  • Detailed information regarding visa requirements can be found on the website of the Ministry of Foreign Affairs of the Republic of Türkiye, under the section Visa Practices for Turkish Citizens.
  • Visa application is entirely the student’s responsibility. All required documents announced by the relevant embassy/consulate of the destination country must be carefully prepared and submitted without deficiencies.


Documents that may be requested during visa applications include:

•Confirmation Letter / Letter of Financial Guarantee (issued by our Erasmus Office and addressed to the embassy/consulate)
•Student Certificate (Proof of Enrollment)
•Language Proficiency Certificate
•Criminal Record Certificate
•Nüfus Kayıt Örneği
•Health Report


Insurance Procedures 

Health insurance is mandatory. The policy must cover the entire study or traineeship period and be issued by an international insurance company valid in the destination country. The policy must include coverage for outpatient and inpatient treatment as well as all medical transfers. Since insurance requirements (coverage amounts, specific conditions) vary from country to country, students must carefully check the host country’s requirements during the visa application process. A photocopy of the insurance policy must be submitted to the Erasmus Office.

For Students in Study Mobility 

It is the responsibility of the student to check the health insurance requirements of the host country and to obtain an internationally valid insurance policy if required. Before purchasing, make sure that the insurance coverage meets the visa requirements of the host country.

For Students in Traineeship Mobility 

Students participating in Erasmus+ traineeship mobility are required to obtain the following insurances:

Health Insurance Coverage: Must cover the entire traineeship period, including outpatient treatment.
Liability Insurance Coverage: Must provide coverage for any potential damages caused by the student in the workplace.

Accident Insurance Coverage: Must provide coverage for accidents that may occur during the traineeship period.




Important Reminder: Your insurance policy must be valid for the entire period from the departure date until the return date.
